Getting Started

What is WrkOrdr?
WrkOrdr is a business management platform built for small service businesses and solopreneurs. Manage clients, track time, send invoices, accept payments, and run up to 3 businesses — all from one app.
How do I get started?
Visit our homepage and click "Sign Up" to start your free 14-day trial. No credit card required. Fill out a short survey about your business and you're in.
What happens after the 14-day free trial?
Your account switches to view-only mode. You can still see all your data, but you'll need to choose a plan to continue using WrkOrdr. No commitment required — cancel anytime.

Pricing & Billing

How much does WrkOrdr cost?
Plans start at $20/month (or $200/year) for 1 user. Add your team with the Run plan at $40/month for 3 users, or Grow at $80/month for 4 users. The Grow plan supports additional seats at $20/user/month. Start and Run have fixed user counts.
Do I need a long-term contract?
No! WrkOrdr is month-to-month with no long-term contracts required. Cancel anytime.
Can I cancel anytime?
Yes, cancel anytime with no penalties. Your data stays accessible in view-only mode.
What payment methods do you accept?
We accept all major credit cards through Stripe.
Is there a referral program?
Yes! Earn $20 for every monthly referral or $120 for annual referrals.

How does GPS tracking work?
WrkOrdr uses GPS-based clock in/out to track where your team starts and ends their shifts. Employees clock in from the mobile app, and their location is logged automatically. You can view GPS data on a map to verify job site attendance and optimize routes.
Can I track my equipment and vehicles?
Yes. WrkOrdr includes built-in equipment tracking on all plans. Log your tools, vehicles, and assets, assign them to jobs or team members, and track maintenance schedules so nothing falls through the cracks.
Does WrkOrdr sync with QuickBooks or Xero?
Yes. WrkOrdr syncs with both QuickBooks and Xero on all plans. Invoices, payments, and client data flow automatically between platforms so your books are always up to date.
Can I send estimates before invoicing?
Absolutely. Create and send professional estimates and quotes directly from WrkOrdr. Once approved by your client, convert them to invoices with one click. Available on all plans.
Does it work offline?
Yes. WrkOrdr works offline so your team can log time, update work orders, and access client info even without an internet connection. Data syncs automatically when you reconnect.
Is WrkOrdr accessible / Section 508 compliant?
Yes. WrkOrdr is built with WCAG accessibility standards in mind, including keyboard navigation, screen reader support, proper contrast ratios, and dark mode. We're committed to making our platform usable for everyone.
Can citizens report issues? (Municipal)
Yes. For municipal and public works organizations, WrkOrdr includes a Citizen Portal where residents can submit service requests, report issues, and track the status of their submissions. This is available on the municipal layout type.
How do team permissions work?
WrkOrdr provides role-based access control with 17 granular permission flags and 3 presets (Owner, Admin, Employee). You can control exactly what each team member can see and do — available on all plans.
How does online booking work?
Set up event types (like "Free Consultation" or "Standard Service") with duration and pricing in your Public Profile settings. Customers visit your profile page, pick an event type, choose a date, and select from available time slots generated from your business hours minus any existing scheduled work. Booking is instant — the customer gets a confirmation email and the appointment appears on your WrkOrdr calendar automatically. No third-party tool, no per-booking fees.
Does WrkOrdr have built-in accounting?
Yes. WrkOrdr includes a full double-entry bookkeeping system with a chart of accounts, general ledger, and journal entries. Invoices, payments, and expenses auto-post to your books as you work. You can view financial statements (P&L, balance sheet, trial balance), close periods to protect finalized months, track 1099 contractors, and export a CPA-ready package at tax time. All included on every plan.
Can I connect my bank account?
Yes. WrkOrdr connects to your bank via Plaid (the same secure connection used by Venmo, Robinhood, and most major fintech apps). Transactions are pulled automatically and matched against your ledger entries. Unmatched transactions can be turned into journal entries with one click. Your bank credentials are never stored by WrkOrdr — Plaid handles authentication directly with your bank.
What are Work Groups?
Work Groups let you organize work log entries by job. Create a group like "kitchen remodel" or "monthly maintenance," assign entries to it as you log work, and see everything related to that job in one place — total hours, which people worked on it, and when. Mark groups complete when the job is finished, and they move to a separate "Complete" section to keep your active list clean. One group can span multiple customers.
How does SMS security work?
When you access sensitive areas of the app (Books, Bank Reconciliation, Admin Dashboard), WrkOrdr sends a one-time verification code to your phone via text message. Enter the code to proceed. You only need to verify once per session — your regular daily work (logging time, managing clients, sending invoices) is not affected. SMS security is automatic for all owner accounts.
Can I store multiple contacts per customer?
Yes. Each customer can have any number of additional contacts (office manager, billing contact, site supervisor) with name, title, phone, and email. When you send an invoice or estimate, pick one or multiple recipients from a dropdown. The communication log also lets you record which specific contact you spoke with.
Can I track inventory and supplies?
Yes. Inventory management is available on all plans. Track your parts, materials, and supplies with automatic alerts when stock runs low. Assign inventory to jobs and see real-time usage.
Does WrkOrdr help with taxes?
Yes. WrkOrdr automatically tracks mileage ($0.67/mile IRS deduction), equipment depreciation, inventory costs, and receipts — all organized by job. Generate a Tax Summary report at year-end with Schedule C-ready totals. Most small business owners leave thousands in deductions on the table because they don't track properly. WrkOrdr makes sure you don't.
What AI features does WrkOrdr include?
WrkOrdr includes several AI-powered features on all plans, powered by Claude AI: receipt auto-scanning (snap a photo and line items are extracted automatically), check OCR (photograph checks and payment details are captured), smart description polish (improve your work log descriptions with one tap), expense auto-categorization (expenses are sorted into the right categories automatically), and a weekly digest summarizing your business activity. All live and included on every plan.
How does Gmail sync work?
Connect your business Gmail account and WrkOrdr automatically tracks email activity with your customers. Emails show up in the customer's activity timeline so your whole team can see the full communication history without switching between apps. Available on all plans.
What is customer activity tracking?
Every customer has a unified activity timeline showing all interactions in one place — invoices, estimates, work logs, payments, emails, and notes. You can see the full history of your relationship with a client at a glance. Each invoice also has its own activity log tracking when it was created, edited, sent, viewed, and paid.
How does the invoice live preview editor work?
The invoice editor shows a real-time preview of your invoice as you build it. On desktop, the preview appears side-by-side with the editor. On mobile, it opens as an overlay. You can apply bold, italic, and underline formatting to line item descriptions. Changes appear instantly in the preview so you can see exactly what your client will receive.

Is my data secure?
Yes. We use Firebase infrastructure with enterprise-grade security, encrypted connections, and App Check verification.
Can I export my data?
Yes. Export your data as CSV or XLSX from Reports. You can also export a CPA-ready package from the Books section at tax time.
Who owns my data?
You do. Your data belongs to you, always.
